What we collect
When you submit an application through this site, we collect
- contact and education details you enter in the form: your name, nickname (optional), email address, phone number, city and region, country, academic status, institution, degree, field of study, and anticipated graduation year
- the documents you upload: your resume, recommendation letters, transcripts, personal photo, and personal statement
- a submission timestamp, a reference number, and your confirmation of eligibility, accuracy, and this notice.
How we use it
Application information is used only to administer the ZIUSA Scholarship: reviewing applications, contacting applicants, conducting finalist interviews, selecting awardees, and keeping records of the program. We do not sell applicant information or use it for marketing.
Who can access it
Access is limited to the scholarship selection committee and the administrators who operate this site. Application files are stored privately and are not published or publicly linked.
When you submit, your form details, and your uploaded documents when their size allows, are also emailed to each member of the selection committee (currently four people). Some members receive these emails in Microsoft 365 accounts and some in personal Gmail accounts, so Microsoft and Google also store copies. Committee reviewers read applications and record scores, interview recommendations, and notes in a password-protected review area, and may download application materials for committee review.
Service providers
The site relies on infrastructure providers to operate: a hosting provider that runs the website, a database and file storage provider that holds submissions, and a transactional email provider that delivers the committee notification, which can include your documents, and the acknowledgment email to you. These providers process data on our behalf to run the service.
- Cloudflare hosts this website. Your application details are stored in Cloudflare’s database service, and your uploaded documents in Cloudflare’s file storage service.
- A Cloudflare Turnstile security check runs on the final step of the application form to keep out automated spam. To do this, Cloudflare receives your IP address and information about your browser.
- Emails from this site, including the committee notification and your acknowledgment, are delivered by Resend.
- Committee members receive the notification emails, which can include your documents, in Microsoft 365 (Microsoft) and Gmail (Google) mailboxes. Those providers store the copies in each member’s mailbox until the member deletes them.
Photos of selected recipients
The application asks for a personal photo in Zomi traditional clothing. If you are selected, your name, country label, and photo may be used in scholarship announcements and on this website, as with past recipients.
Corrections and deletion
To correct your application, ask a question, or request deletion of your information, email dimnuam@ziusa.org and include your reference number. Retention periods for application records are being finalized by the committee; until then, records are kept only for administering the program.
What we do not do
- No account creation is required, and no passwords are collected.
- Application documents are never stored in your browser.
- No advertising or analytics trackers run on the application form.
- Scholarship decisions are made by human reviewers, not automated scoring.
